How to take groom package bookings at your barbershop

5 min readMuhammed Çelik, founder of Zotview

Short answer

Define your groom package options, then ask early for the wedding date, ready-by time and party size. Book the trial and wedding-day appointment separately, allowing time for preparation and adjustments. Explain any optional deposit before sharing your shop’s own payment link, and recheck the details with a reminder before the day.

Define your options and ask about the date and party size

A groom package can offer a haircut and styling, beard shaping or a shave, a warm towel or a simple facial treatment if your shop provides it. These are options for you to choose. List only services you actually offer and distinguish included services from extras.

Before confirming, ask for the wedding date, photography or departure time and when the groom must be ready. Is he coming alone, or how many other people need services, and which services does each person want? Do not assume one groom booking reserves space for the whole party.

Book the trial separately from the wedding-day slot

Arrange a trial before the wedding to review the hairstyle and beard shape. Agree its scope and duration separately. Record the groom’s preferences and the time the work actually takes, then confirm a separate wedding-day appointment.

Work backwards from the ready-by deadline. Allow time for each person’s services, preparation, cleaning, adjustments and delays. Check staff and chair availability yourself and reserve enough time in your shop schedule before confirming.

Use a Zotview service, duration and booking questions

Add the groom package as a service with a duration that fits the work. Add booking form questions for the wedding date, ready-by time, number of people and requested services. Zotview saves the client’s own answers with the booking. Once agreed, record the trial and wedding-day slot as separate bookings.

The service duration helps reserve time for the selected service. Writing a party size in an answer does not automatically book those people or assign barbers. Zotview bookings use the business’s shared schedule, with no calendar per employee. Arrange the other appointments and staff responsibilities yourself.

Use your shop’s own payment link for an optional deposit

A deposit is your choice. Before payment, explain the amount, currency, deadline and whether it comes off the total. Set out date-change, cancellation and refund terms. State whether the trial and other party members are included, and when the booking becomes confirmed.

A Zotview booking can display your shop’s own payment provider link. The client pays the shop directly on the provider’s page; you check receipt and mark the booking paid. Zotview never takes or holds money. Never ask for card details in booking questions.

Recheck the plan and send reminders before the day

Several days before the wedding, recheck the party size, services and ready-by deadline. The day before, send the arrival time, shop location, preparation instructions agreed at the trial and a contact method for delays. Ask for a reply and follow up on changes yourself.

Zotview bookings send emails. Plan the wedding detail check and personal reminder separately; a booking email alone does not confirm the whole party’s schedule.

From package enquiry to wedding day

  1. Define services and party size

List package options and ask first for the date, ready-by time and number of people.

  2. Arrange two separate bookings

Book the trial and wedding-day slot separately, with a suitable duration for each service.

  3. Check time and deposit terms

Review your shop schedule and the other people; explain any deposit terms before sending your own link.

  4. Reconfirm before the day

Send arrival and preparation details, then check the groom’s reply and any changes.

Frequently asked questions

Must a groom package include every service?

No. Choose the services your shop actually provides and explain what is included or extra before booking. Agree the trial and any other party members separately too.

Does a party-size answer reserve appointments for everyone?

No. Booking answers record the client’s request. Check services, time and availability, then arrange the other people’s appointments yourself.
