How to manage bridal hair and makeup bookings at your salon
Short answer
Start with a consultation request covering the wedding date, location, party size, style references and skin or hair notes. Arrange a separate trial, then confirm the wedding-day timeline in writing. Explain deposit and cancellation terms before payment, schedule reminders, and photograph or share images of clients only with their explicit permission.
Collect a consultation request before confirming the date
One bridal enquiry can include several people needing different services. Check your team's availability and the preparation location before confirming the wedding date. A consultation request gathers details; it does not reserve the team.
Zotview's bridal hair and makeup request template can serve as the consultation form. It collects the date, ready-by time, location, services, number of other people, trial preferences and hair or sensitivity notes. Ask for style reference images after replying if needed; do not assume the form includes photo uploads.
- Wedding date and the ready-by deadline before photography or departure.
- Salon, home or hotel preparation, with the town or area first and the detailed address after accepting the request.
- Total number of people including the bride, and the services each person needs.
- Desired look, reference images shared with permission, veil and accessories.
- Hair length, texture and known product sensitivities; explain why you need these details and limit access to the people preparing the service.
Arrange a trial and agree the wedding-day timeline
Book a separate trial before the wedding and explain its price, duration and scope. Review the look with the veil and accessories, record changes and note how long the work actually takes. Taking trial photos also requires permission.
Work backwards from the ready-by deadline. Allow time for each person's hair and makeup, setup, travel and adjustments. Assign team responsibilities yourself and send the bride written arrival, start and finish times. Zotview bookings are for the business as a whole; there is no calendar per employee.
Write the deposit policy in plain words
Before payment, state the deposit amount, currency and due date, whether it reduces the final bill and when the balance is due. Explain whether the trial and travel are included. Set out what happens with date changes, fewer people or cancellation, including when a refund applies. Ask the client to accept these terms before confirming.
Adaptable wording: ‘Your date is confirmed after the salon confirms availability and receives the agreed deposit. The deposit comes off your total, with the balance due at the agreed time. Changes and cancellations follow the written terms you accepted before payment.’ Add your actual amount, deadlines and refund conditions before sending it.
The consultation form does not take payments. A Zotview booking can request a deposit through your business's own payment provider link. The client pays your business directly on the provider's page and you mark the booking paid. Zotview never takes or holds the money. Never request card details in the form.
Follow up before the day and ask about photos separately
Several days before the wedding, recheck the party size, services, venue and timeline. The day before, send arrival details, preparation instructions agreed during the trial and a contact method for delays. Ask for acknowledgement and follow up on changes yourself; a booking email does not replace this conversation.
Photograph clients and publish their images only with their explicit permission. Ask separately about taking and publishing photos, and explain where images will appear. Make this especially clear in women's salons in Saudi Arabia and the Gulf. Refusing photos must not affect the service; sending a reference image for consultation is not permission to publish it.

Does submitting the form confirm the wedding booking?
No. Check team availability, services and location first. Agree the date, timeline, price and deposit terms in writing, then confirm the booking yourself.
Does Zotview send reminders automatically?
Bookings send emails. Zotview does not send automatic SMS or WhatsApp reminders. Plan the pre-wedding detail check and reminder yourself.
Does agreeing to the service allow photo publication?
No. Get explicit, separate permission to take and publish photos, and explain their intended use. Do not make photo permission a condition of receiving the service.
